Your mission: prepare and execute HR administrative tasks for the organizations in Austria, Germany, Netherlands, and Switzerland. Support the HR Business Partner and the HR Payroll & Administration Senior Manager on administrative tasks.

 

What will the role entail?

HR Administration

  • Process all starters/leavers and contractual changes in HR databases (contract overview/SAP Success Factors). Issue letter of confirmation when needed.
  • Inform Payroll Provider on starters and leavers from the company and other related matters (f.e. sick notes).
  • Liaise with IT department to update on starters/leavers.
  • Prepare all contracts of employment and starter packs.
  • Update/administrate absences and holidays.
  • Process references and other requested documents.
  • Ensure copies of all payroll documentation, contractual changes, and other personnel-related matters are filed timely and correctly;
  • Chase all statutory / company documents to ensure complete files are present for all employees.
  • Support the (Sr.) HR Payroll & Administration Senior Manager & HR Business Partner.

Payroll Administration

  • Prepare new starter information, leavers and employee changes on a monthly basis, ensuring that the correct authorization is obtained.
  • Liaise with all involved managers to prepare monthly spreadsheets detailing all overtime and commission payments.
  • Calculate the commission amounts for Retail/Office in all countries.
  • Calculate bonuses for Retail/Office in all countries.
  • Liaise with Finance department to process payments.
  • Issue annual and monthly payslips.
  • File all paperwork for audit purposes.
  • Deal with payroll queries.

Reports

  • Send various reports to HR Manager: headcounts SAP Success Factors, staff turnover, holiday and sick leaves.
  • Monitor and follow up on timely receipt of various reports from store managers and HQ Spain.  

Health & Safety

  • Be Head of ERO for the Netherlands.
  • Monitor all required ERO licenses
  • Start, update and check evacuation plans and RI&E’s when needed.
  • Help store managers with Evacuation Plans for stores.
  • Manage H&S for DACH.

Policy / Internal Communication

  • Implement and communicate new policies and procedures to employees when needed.

HR Advisory

  • Legal advice (especially in Germany), health and safety issues (especially in the Netherlands), providing documents concerning the employment. 
  • Knowledge of labor law in Germany is required (terminations, holidays, contracts, contract types, notice periods)
  • Knowledge of labor law in the Netherlands, Austria (Switzerland) is a pre but will be required to learn on the job. Therefore affinity with legal matters is required.

Requirements

Previous experience of 2 – 3 years’ experience in a similar role

 

Education level required

  • Degree in Business Administration, Human Resources or similar

 

Required languages      

  • Advanced/Native German level
  • Advanced English level
  • Valuable Dutch

 

Technical skills required

  • Advanced Microsoft Excel
  • Valuable SAP Success Factors
